Administrative Assistant to Alumni and Parent Relations


The Administrative Assistant for Alumni and Parent Relations provides administrative support for the Alumni and Parent staff. This individual is responsible for keeping the Alumni and Parent Relations office and programs running smoothly and efficiently. Ideal candidates for this position would be energetic, highly organized professionals with excellent written and oral communication skills, a positive attitude and the ability to work nights and weekends.

Reports to: The Director of Alumni and Parent Relations.

Responsibilities include:

  • Responds to email and telephone requests from constituents
  • Coordinates and assists with all mailing projects
  • Provides administrative support for the Alumni Association Board of Directors
  • Processes check requests, cash advances and deposits with the Business Office
  • Processes purchase card statements, and tracks expenses
  • Supports event logistics, mailings and registration
  • Maintains inventory of promotional items
  • Maintains constituent records
  • Assists with acknowledgements for gifts, memorials, scholarship referrals, birthdays etc.
  • Coordinates meetings and travel itineraries for Alumni and Parent Relations
  • Generates downloads for mailings, special events and special projects
  • Assists with staffing alumni and parent events as needed
  • Other responsibilities as assigned by the Director

Position Requirements:

  • High school diploma a must; College education preferred.
  • Minimum of three years experience as an administrative assistant.
  • Proficiency in Windows and Microsoft Office (Word, Excel, Power Point, etc.), mail merge and basic bookkeeping is essential
  • Ability to work independently, with sound judgment and personal initiative.
  • Proven organizational skills with ability to manage multiple projects.
  • Effective oral and written communication skills.
  • Ability to keep confidential records.
  • Creative problem solving skills.
  • Ability to maintain open working relationships and interact successfully with alumni and division staff.
  • Willingness to perform tasks at all levels of competency in order to get the job done.
  • Strong telephone etiquette.
