Administrative Assistant for Development

 

The administrative assistant for development works as a member of the office of development and reports to the director of annual giving. This individual provides primary support to the director and assistant director of annual giving, and secondary support for major and planned giving officers. The administrative assistant is an integral part of the Millsaps fund raising effort and also assists in staffing other institutional advancement and college activities as needed.

Responsibilities:

  • Coordinate all office of annual giving correspondence including direct mail letters, gift acknowledgments, and reminders
  • Edit and merge computer mail lists, donor lists, etc.
  • Supervise production of direct mail projects to ensure delivery within specified deadlines
  • Generate reports to track progress of annual giving programs
  • Track annual budget and expenditures
  • Make reservations and appointments for annual giving officers and volunteer meetings
  • Supervise student workers assisting with annual giving projects
  • General clerical duties including typing, filing, etc.
  • Run errands as needed
  • Supervise annual giving support material inventory
  • Work with other institutional advancement offices to ensure success of projects and divisional initiatives
  • Discretion in dealing with privacy of donors
  • Willing to adapt to change in a fast paced office
  • Monitor your own work and process
  • Work with staff that is constantly in demand and on the move
  • Willing to assist with campus wide events

Qualifications and Skills:

  • Minimum education - high school diploma (college degree preferred)
  • Good communication skills (verbal and written)
  • Word processing proficiency (approximately 85% of the job involves word processing)
  • PC experience (Windows)
  • Excel spreadsheet proficiency
  • Ability to work as a team member
  • Ability to manage time well
  • Excellent phone etiquette
  • Good organizational skills and attention to detail
  • Interest in fund raising and sensitivity to donor relations
  • Ability to work against deadlines
  • Flexibility
