When you access your mailbox for the first time, a user tutorial automatically activates. This tutorial will guide you through your first mailbox session, explain how to record a greeting and your name, and prompt you to change your temporary passcode.


You will be asked to record a greeting that callers will hear when they call your mailbox. (Click here to see a sample of Voicemail Greetings).


You will be prompted to record your name so that the system can:
  • Address you when you call in to the system (such as, "Hello, Jane Smith")
  • Inform other users when a message comes from you (such as, "4:54 p.m., from Jane Smith").
  • State your name to other users when they address messages to your mailbox (such as, "Jane Smith").


You will always be prompted for your passcode before accessing your mailbox. The first time you access your mailbox, you will use the temporary passcode assigned by the system administrator. During the tutorial, you will be prompted to change your passcode to a number with 4 to 10 digits. Please define a passcode that you can remember, but do not select something trivial such as "1234".


All of your voice messages will reside in your personal mailbox, which is protected by a passcode. Your system administrator will assign you a temporary passcode to use the first time you access your mailbox.


From your extension: Dial the Voicemail access number of 1441 Enter your passcode when prompted.
Dial the Voicemail access number of 1441 Press the * key (when prompted to enter a passcode) Enter your mailbox number followed by the * key Enter your passcode when prompted


From an outside line Dial the external Voicemail number - 601-974-1441 Enter your mailbox number followed by the * key Enter your passcode when prompted.

If you would like to create a voicemail message to send to another user's mailbox without calling them:

  • Dial 1441

  • Enter your passcode

  • Press 6 to make a message.
  • Enter the recipient's mailbox number
  • After the system confirms the recipient's name, enter the numbers of any other intended recipients. (For example, you may wish to send a single message to all members of a certain committee, telling them when and where the next committee will be held.)
  • When you have finished addressing your message, press #.
  • Begin recording your message after the tone.
  • When you are finished recording:
    • Press 9 to send the message and exit to the main menu, or
    • * - to move back within the message
    • Press 6 to access message addressing options, such as urgent delivery, future delivery, confidential, and return receipt. Once you have selected from these options, press 9 twice to send your message and exit to the main menu.
  • Sample 1:
    You have reached the voice mail box of _________, I am either on the phone or away from my desk. Please leave me a detailed message and I will return your call as quickly as possible. If you need immediate assistance press "0". You will be transferred to our department secretary.

  • Sample 2 (if you change message daily):
    Hello, this is _______ of Millsaps College. Today is ____. I will be out of the office all day today, but I will be checking in for messages, so please leave me a detailed message and I will return your call as soon as possible. If you need to speak with someone right away, please press "0", for our department secretary. Thank you.

  • Sample 3 (if you change message often):
    Hello, this is ________, today is _________, I will be in meetings all morning, but will be available this afternoon. Your call is important to me, so please leave a detailed message and I will return your call as soon as possible. If this is urgent, press "0", for assistance.

  • Sample 4 (if you are gone for a while):
    Hello, this is _____. I am out of the office until __________. You may leave me a message and I will return your call upon my return. If you need assistance or have any questions, please press "0",. You will be transferred.


When you access your mailbox to retrieve your messages, the system first tells you how many messages you have ("you have 2 urgent massages and 4 unplayed messages").

  • Press 7 to play your messages. Your urgent messages will automatically be played first. At anytime during the message playback you can press:
    • 1 - to pause for 30 seconds
    • * - to move back within the message
    • # - to move forward within the message
  • Press 7 if you need to play the message again.
  • Press 2 to answer the person who sent the message. When you are finished recording your answer, press 9 to send it and continue your session, then press * to send your answer to additional mailboxes if you wish.
  • Press 4 to give the message to another mailbox or distribution list. The system will also give you the opportunity to record additional comments before sending the message to someone else. When you have added your comments, press 9 to send your message and continue your session, then press * to give the message to additional mailboxes if you wish.
  • Press 5 to keep the message. Keep messages cannot be accessed until you have skipped through your unplayed message and message receipt queues.
  • Press 3 to discard the message.
Greeting, Name and Passcode
When you first set up your mailbox, you recorded a greeting and your name and selected a passcode. The user options menu allows you to change these at any time. You should update your greeting regularly -- for example, to let callers know whether you're in or our of the office. Press 8 for the User Options menu:
  • Press 4 to change your greeting
  • Press 6 to re-record your name
  • Press 7 to change your passcode
You can press the 8 at any time to go through the user tutorial again.
