Program Coordinator for Executive Education

Job Summary

The Program Coordinator for Professional Programs supports the planning and execution of multiple professional programs in the Else School of Management including Executive Education, Continuing Education, the Business Advantage Program and the Executive MBA. This position is responsible for logistics, event planning, managing enrollment and payment of fees, program analytics and process improvements. Given the nature of these programs, candidates will be expected to interact professionally with adult learners, managers, and senior-level directors and executives, while also managing the more routine functions of these programs. The successful candidate will be customer focused, adaptable and highly organized.

Many of the professional programs occur outside of the regular workweek, to include BAPP, EMBA, and Exec Ed events. Some flexibility with schedule will be required to accommodate evening and weekend programs. This position reports to the Director of Executive Education.

Salary range: $30,000-$35,000

Job Duties

  • Plan, execute and evaluate professional programs within the Else School of Management.
  • Communicate event details to instructors and participants.
  • Organize and host events for past, current and prospective participants, overseeing invitations, registration, venue, setup and cleanup.
  • Manage registration site content and program portals, ensuring information is up to date and executed in accordance with program deadlines.
  • Process invoices, collect payments from programs, and track expenses.
  • Manage financial information and assist the Director in preparing budgets, invoices, and program financial results.
  • Purchase supplies and equipment and maintain a sufficient inventory of supplies for each program.
  • Collect and analyze feedback from participants and other project users to gauge satisfaction, success, and opportunities for improvement.
  • Manage the database of contact lists for participants and prospects. Make recommendations to grow prospective contacts and assist with execution of outreach plans.
  • Research, obtain and analyze market data regarding program development trends and market demand.
  • If needed, hire and supervise student workers.

Qualifications

  • Bachelor’s degree in Business or a related field, or an equivalent mix of education and experience.
  • 2-3 years of administrative support, event planning, or program support experience
  • Proficient in Windows and Microsoft Office (Word, Excel, Power Point, etc.) with the ability to learn new software and programs independently and quickly
  • Proven organizational skills with ability to manage multiple projects with strict deadlines while staying within budget
  • Excellent oral and written communication skills including strong phone and email etiquette
  • Creative problem-solving skills and demonstrated ability to work independently with little oversight
  • Demonstrated ability to build relationships and interact successfully with individuals at all levels internally and externally while maintaining a strong customer service focus

Physical Requirements

  • Must be able to flex schedule to accommodate evening or weekend work on an as-needed basis
  • Prolonged periods sitting at a desk and working on a computer.
  • Manual dexterity needed for keyboarding and other repetitive tasks.
  • Must be able to lift and move up to 25 pounds without assistance.
