Mail Preparation

All departmental mail must have a return address. To ensure proper billing, all Millsaps college mail must list the billing department, office or box number in the return address. If you want us to bill a department or account other than the one in the return address, please put a post-it note on your mailing with your change. Mail pieces that do not provide a return address can not be returned to you.

All campus mail must be in box number order and a return address would be helpful in case there is a problem with delivery of your mail piece. If the box number is wrong or the student or faculty member has closed their box, we will put the mail back in your campus box with a note. We will not forward the mail piece unless you tell us to.

Since we have a new meter machine, we need you to please put the flaps down on mail you need us to seal for you. Separate the mail for sealing from the already sealed mail. We do not seal flats so please be sure they are sealed prior to bringing them to the Post Office. The invitation envelope some department's use will not seal properly in the meter machine because the flap on the back is too deep and the water cannot wet the adhesive part of the envelope.

If you would like to do a large mailing of at least 250+, you have several options:

  1. You can send them first class which will start at $.41 for first ounce. Please have the mailing to us by 2:00 so we can meter the mail before the mail man picks up the mail at 3:15 p.m.
  2. You can have us meter your mailing using the nonprofit rate which starts at $.17 for basic letters and $.230 for basic flat (3.3ozs or less). You cannot use this service to mail bills or solicit funds.
  3. You may have the Permit #164 nonprofit indicia put on your mail piece. This will save you money if you have more than 250 pieces of mail. This is a nonprofit rate as well. It has to go through our sorting house, Postage Savers. There is a sorting fee, minimum of $40.00. The indicia is not considered postage until your mail gets to the Post Office downtown where it will be mailed using money from the college's Permit account. I MUST have an Accounts Payable Voucher with your department account number, estimated count, brief description of mailing and signature of Department Head before this mailing can leave the Millsaps Post Office. You cannot use this non profit permit to solicit funds. If you want to mail one single piece of mail with the indicia imprint you must cover up the indicia.

If you would like to mail books, magazines, or items that are bulky or heavy and might need special handling:

  1. You can send books, magazines or videos Media mail. This can save you money on postage. For example, 1 lb. book - 1st class would cost $4.60 +/- to mail. 1 lb. book - media (book rate) would cost $2.13 +/-. First class mail will of course get to the recipient quicker than media mail but will save you money. Planning is the key to saving your department money on postage.
  2. When you get ready to send out several bulky items through metered mail, the envelope must be metered before it is filled in order to help keep cost down for your department and the college. To do this, bring your item to us to be weighed to see how much postage will cost. After you stuff the metered envelopes, bring them back to us by 3:00 p.m.
